Dubuque Dance Studio and Gymnastics Club
Welcome to our competitive team programs! We are proud to provide opportunities for students to develop their skills, confidence, teamwork, responsibility, and love for dance, gymnastics, and tumbling.
Participation in a competitive program is a commitment shared by the athlete, family, instructors, and teammates. Our policies help us provide consistent training, maintain appropriate staffing, and plan responsibly for each season.
We kindly ask all team families to review and understand these policies before enrolling.
1. Competitive Team Programs
Our competitive programs include:
- Dubuque Dance Company
- Competitive Dance Team
- Tumbling Team
- Gymnastics Team
Each program has specific training requirements, schedules, equipment needs, and competition expectations. Families are responsible for reviewing the information provided on their individual team pages.
2. Year-Round Commitment & Enrollment
Our competitive teams are year-round programs, with commitments organized into summer and school-year sessions.
When a student enrolls in a team, their placement is reserved and staffing, training schedules, and other commitments are planned accordingly.
Team Withdrawal Deadlines
- March 1: Written notice required to discontinue for the upcoming summer session.
- July 1: Written notice required to discontinue for the upcoming September–May session.
Without written notice by the applicable deadline, the student remains enrolled and the family is responsible for the tuition and applicable fees for the upcoming committed session.
Withdrawal after a deadline does not automatically release the family from financial obligations associated with that session.
Written notice must be submitted to our office by email, text, or hard copy.
These deadlines allow us to plan team placements, coaching assignments, choreography, and competition participation responsibly.
3. Tuition & Account Responsibilities
Team tuition is due before the first of each month.
A mandatory $3 late fee per unpaid charge is assessed when payment is not received before the first of the month.
Families are responsible for maintaining current accounts throughout the season.
Team tuition reserves an athlete’s place in the program and supports the staffing and resources committed to that team. Tuition is not calculated on a per-class basis.
All tuition and applicable team fees are nonrefundable, except where required by law.
4. Competition & Event Registration
Competition and event registrations involve advance planning, entry deadlines, and financial commitments to outside organizations.
Competition and event registration fees are nonrefundable.
All outstanding studio account balances must be paid in full before competition or meet registration payments can be accepted.
Please understand:
- Requesting participation does not guarantee registration.
- An athlete is officially registered only after the studio confirms their entry.
- Competitions may close when capacity is reached.
- Delayed payments may prevent an athlete from participating.
- Families remain responsible for applicable registration and event expenses once commitments have been made.
If a family’s failure to meet payment obligations creates additional expenses for other members of a group or team, the responsible family may be charged those additional costs.
5. Competition Fees & Deadlines
Competition and meet fees are generally due by the 15th of the designated billing month, unless another deadline is specifically announced.
Additional expenses may include:
- Competition or meet entry fees
- Coaching and travel fees
- Required costumes or uniforms
- Competition equipment and accessories
- Other program-specific expenses
Coaching and travel expenses may be assessed with the applicable meet or competition fees.
Families are responsible for reviewing posted schedules, payment notices, and registration confirmations.
6. Attendance, Training & Team Participation
Consistent attendance is essential to individual progress and team success.
Team athletes are expected to:
- Attend their required classes and team practices.
- Arrive on time, prepared, and properly equipped.
- Follow instructor directions and safety requirements.
- Practice assigned skills and routines outside of class when requested.
- Demonstrate respect for instructors, teammates, and other families.
- Communicate absences and scheduling concerns promptly.
Additional attendance, summer training, and make-up requirements may apply to individual teams.
Participation in a team requires a willingness to contribute positively to the group’s progress and success.
7. Team Placement & Advancement
Team placement and advancement are determined by the coaching staff and studio director.
Considerations may include:
- Technical skills and readiness
- Safety and consistency
- Attendance and practice habits
- Ability to follow instruction
- Attitude, responsibility, and teamwork
- Overall preparedness for the next level
Placement decisions are made with each athlete’s safety, development, and the needs of the team in mind.
Advancement is not guaranteed based solely on age or previous team placement.
8. Required Equipment, Apparel & Costumes
Team athletes must have the required equipment, apparel, and competition attire for their program.
Requirements may include practice clothing, shoes, competition costumes or leotards, warm-up apparel, and other accessories.
Ordering deadlines and pricing are provided through individual team information pages.
Families are responsible for meeting these deadlines and maintaining required equipment in appropriate condition.
Equipment, apparel, and costume orders are nonrefundable, except where required by law.
9. Team Communication & Family Responsibilities
We value positive communication and cooperation between families, athletes, and instructors.
Families are responsible for reviewing studio emails, text messages, website updates, and their team information pages.
Please notify the office promptly regarding absences, scheduling conflicts, or other circumstances that may affect participation.
We ask all families and athletes to demonstrate courtesy, respect, and sportsmanship toward instructors, teammates, other families, competition officials, and participating organizations.
10. Outstanding Balances & Financial Commitments
Families are responsible for all tuition, equipment, competition, and other fees associated with their team enrollment.
Accounts with outstanding balances may be subject to applicable late fees, restrictions on online access, required automatic payment arrangements, and collection procedures in accordance with applicable law.
Athletes with outstanding account balances may be ineligible for competition registration until the account is paid in full.
Financial commitments made on behalf of an athlete remain the responsibility of the account holder, subject to applicable law and the enrollment agreement.
11. Agreement to Team Policies
By enrolling in or participating in a competitive program, families acknowledge and agree to follow the policies of Dubuque Dance Studio and Gymnastics Club, including applicable team-specific requirements, registration agreements, and studio policies.
Our goal is to provide a positive, structured, and rewarding experience where athletes can grow as individuals and teammates.
Thank you for supporting your athlete, our instructors, and the entire studio family! Your cooperation and commitment make these opportunities possible.
With appreciation,
Miss Dee
